Current situation: 13th May 2026

4 Trustees (Jane Griffiths, Sue Garnett, Roy Williams & Andrew Emm) have been working to get things in place. We last met on 6th May. 

Today (13th May 2026) we obtained Registered Charity status and have our Section 19 permits.

TRIPS START 1ST JUNE. 

You have been sent an email inviting you to a drivers meeting at 10am Wed 20th May. 

Ashorne Hill have been kind enough to give us minibus parking and storage space.

The minibus: BW66HEJ

WTY will be buying this bus, it has had a 10 week safety check and a full service including a new battery. It is 9 years old and done 100,000 miles but that is not so much for a well maintained VW Crafter. It will have a tail-lift safety check/service when insured to be driven. It will get WTY livery soon as per the mocked-up picture.

Operational methods - See below

Things cannot be how they were but we hope to maintain the same standards and that drivers will continue to enjoy what they do.

What follows are mostly Andrew's suggestions on how we start to operate, some of it driven by saving the time of those volunteers managing the admin and operations. Some has already been modified by earlier driver feedback.

Let's see how it goes and please make suggestions and comments as we go along.

Operational Base

Ashorne Hill (CV33 9QW), the corporate training centre halfway between Bishops Tachbrook and Moreton Morrell, has kindly offered free secure parking, storage space for spare seats etc and access to a toilet (the toilet at least so far on weekdays).

An arrangement about the bus key will be put in place.

People doing admin will work from home.

Contacts

The following structure is the current suggestion:

  • The bus and any adverts will only show this website name
  • This website will only show an email address and various Google Forms for users to submit requests etc. . (i.e. no advertised general phone number as there is no one full time).  The bookings admin person mentioned below will monitor this email address. 
  • Once users have booked then they will be told a phone number which would be held by the bookings admin person, for post-booking changes or issues on the day . This admin role will be be done by a person for a month and then another will do it (so far Jane, Sue and Andrew have volunteered). The phone will get passed around or call forwarding used. Drivers can know this number but will generally not use it .
  • Drivers will have a phone number for any issues on the day. This for their sickness, pre-set-off bus issues, issues on the road and issues once back base. At the end of each trip the driver will text to this number the odometer reading,  the fuel tank percentage full, any vehicle defects or observations and any personal mileage they wish to claim . We don't yet have volunteers to take on this role which would include organising breakdown assistance.
  • Volunteer Driver David Lusty will liaise with drivers over populating the rota using the   @gmail.com address:     wtyrota
  • SUPERCEDED SUGGESTION: On this page will be a live read-only link to the calendar of bookings. Rather than a monthly cycle which creates a delay in knowing whether drives can be covered, drivers are encouraged to keep an eye on the calendar and email in to offer to do particular drives. Bookings will be colour coded to show if a driver has been allocated.
  • CURRENT SUGGESTION (based on recent driver feedback): Drives will be allocated to drivers on a similar basis to how Jane did it. We need somehow though to give confidence to users as soon as possible as to whether their drive can be covered so frequency of communications with drives might need to increase and later months might need to be included - all up for discussion and likely to evolve anyway.
  • Drivers will be asked to join a Whatsapp group generally for use for urgent requests like 'who can drive tomorrow?'. This will not be for chat but will probably be set to be one-way messaging out from David Lusty.
  • On the Users' page Users will be able to see a version of the bookings calendar simply showing when bookings have already been received and not the detail. 

Bus log and paperwork

Daily Check: There will be the familiar drivers' daily check list book to complete.

End of trip text message: As mentioned above, the only feed-back needed after a trip is a text message giving the odometer reading,  the fuel tank percentage full, any vehicle defects or observations and any personal mileage they wish to claim.

Bus Log: In case of any subsequent queries or security issues however, a log-book will stay in the bus for the driver to record :

  • Time leaving Ashorne.
  • Time at first pick-up
  • Total passengers carried. 
  • Time at destination
  • Time leaving destination
  • Total passengers carried on return.
  • Time of last drop off
  • Time back at Ashorne

Trip details: In the past, the detailed instructions for each trip were printed out and put in the shed. We need to work out other options and different drivers will have different needs which we need to collate. Some will be happy to print paperwork out at home, some might view documents on their phone or take a photo of a laptop screen, maybe some drivers can print stuff out for later in the week and leave it in the bus. We all need to explore this. 

Note also that the trip information will have been captured in fields in a GoogleForms spreadsheet and not a nice A4 form (although maybe mailmerge could be used to turn one into the other.)

Expenses

Volunteering shouldn't cost you money but we need to keep costs low and so propose:

  • 25p per mile between drivers' homes and Ashorne is what is paid for any mileage claimed (i.e. not to include contribution to insurance etc)
  • Coffees and meals are not usually paid for. Snacks/flasks should be taken from home

Fuel

There are few details yet but we think we can get a fuel card from the CTA (Community Transport Association) that can be used quite widely and will pay for fuel drawn in a similar way to before.

Equipment handling

1. We would like a volunteer please (or several) to set the bus up for when seats need to be removed or put back in. 

The seat are heavy and just putting them down heavily can cause damage to the front legs which then are a problem to locate securely or might write-off a seat. Putting seats in needs practice, the mechanisms can easily be damaged or scarier still, seats can come loose with passengers in them. 

2. Would you like a refresher on using the tail-lift and using the harnesses to secure wheelchairs to the floor? Do let us know when we are closer to start trips.

Trips booked so far

See calendar on Users' page for what days are under discussion or booked already. Soon you will be given direct access to a calendar on a shared Google Drive giving details of timings and destinations etc.  i.e. not access via this website.
